This document proposes a model of the decision making process required of research libraries when they embark on digital conversion projects. A series of questions are offered that focus on facilitating the decision making process for library managers. Questions of what and how to digitize are placed in the larger framework of collection building by focusing, first on the nature of the collections and their use, and second, on the realities of the institutional context in which these decisions are made. The Commission on Preservation and Access sought to increase its knowledge of Latin American microfilms produced and available outside of Latin America itself by studying Latin Americanist microfilming activity in the United States. The immediate goal of this study was to minimize unnecessary Latin American filming duplication. This report summarizes the current state of this type of microfilming activity in the United States, and, to a lesser degree, in other world areas. After briefly reviewing the historical context of microfilm production and its bibliographic control, the report points out subject and format areas in which filming has been particularly extensive. It also suggests strengths and weaknesses of filming efforts to date and indicates the principal institutional and commercial sources of Latin Americanist microfilm masters. The five appendices present the following information: (1) list of the major microform sets of Latin Americanist emphasis; (2) summary results of sample surveys concerning preservation information; (3) text of the questionnaire and the survey responses; (4) the Princeton cataloging record for a collection of ephemeral materials from the Research Libraries Information Network; and (5) a list of recent Latin Americanist preservation microfilming projects funded by grants. A list of scholarly and historical collections that have been preserved concludes the document. Each entry contains a brief description of the preserved collection, the name and location of the institution that received the grant funds for preservation, a shortened name of the granting agency and the date of grant. The bibliographic control and preservation of Latin Americanist library resources : a status report with suggestions by Dan C Hazen( Book )

This report offers a baseline survey of the retrospective strength of, access to, and preservation of Latin Americanist resources in North American libraries. Information about collections, online bibliographic control, and the need for preservation is derived from analyses of a 550-item sample of Latin Americanist materials published between 1935 and 1965. Results of the analyses suggest that North American libraries have done a fairly good job of acquiring mainstream research materials from and about Latin America. Only 20 items from the 550-title sample are not held in the United States. Most are represented in the major online bibliographic utilities, OCLC and RLIN. Results suggest that continued funding for retrospective conversion and delayed original cataloging is a crucial component for increasing access to Latin Americanist publications. While findings highlight significant progress in providing machine-readable access to bibliographic records in Latin Americanist studies, they underscore the fact that preservation reformatting has so far saved only a small portion of the Latin American imprints. Four appendixes list projects for conversion and cataloging and details of study methodology. Fifty-two figures (graphs) illustrate relative holdings. (SLD)

This report describes the aspirations and inspirations as well as the data collection and analyses which constituted the first phase of activity under the Mellon Foundation grant to examine collection development and management at Cornell. The emphasis is mainly on analytical and planning processes rather than specific results during this first phase. Efforts for constituting a unified model for collection development have centered on identifying and elaborating the factors affecting these processes and on locating ways to evaluate each. Data collection is incomplete and some data elements may remain intractable; however, a comprehensive model remains a goal. This report, laying a foundation for research and planning during the second phase, is divided into eight sections. The first provides background and an overview. The second defines project goals in specific terms and develops a strategy to achieve them. The next three illustrate specific data gathered for purposes of collection development and evaluation. The focus is shifted in section six to various levels of decisions and decision-making within the libraries. Section seven concerns activities pertinent to collection management at Cornell and section eight summarizes the report. In October 2016, a group of eminent library leaders, research collections specialists and scholars gathered at Norton's Woods Conference Center in Cambridge, MA, to commemorate the career of Dan Hazen (1947-2015) and reflect upon the transformation of academic library collections. The report presented here is not a comprehensive summary of the Hazen symposium, but a selective examination of some central themes that are (we think) important to a broader conversation about the future of academic library collections. We explore two primary themes from the symposium: collective collections and the reimagination of what have traditionally been called "special" and archival collections (now commonly branded as unique and distinctive collections). These two themes are closely intertwined, as the emergence of collaborative strategies for managing shared collections helps enable the strategic reorientation of attention and resource toward increasing specialization and differentiation of local inventory. Our reflections are organized around these two themes, drawing from presentations and audience discussions at the event
